Pins & Roses Tattoo (“we,” “us,” or “our”) operates pinsandroses.com and the Pins & Roses mobile app. This policy explains how we handle information when you browse, contact us, request a tattoo appointment, shop, or use an account or rewards feature. App-specific sections apply when those features are available.

1. Information we receive

  • Booking requests and communications. Information you provide may include your name, pronouns, email address, phone number, age confirmation, artist preference, tattoo idea, approximate size, placement, budget, availability, reference photographs, and messages. Please provide only information needed to discuss your request, and only photographs you are entitled to share. We also receive information you submit through other forms, including artist or employment inquiries.
  • Purchases and payments. We receive order details, selected products and pack contents, billing and delivery details, gift-card issuance and redemption records, payment status, transaction references, and information needed for deposits or tips. Square processes payments. Our website and app do not store your full payment-card number or card security code.
  • Accounts. Website accounts may use a username and password. App sign-in uses an email verification code. We keep account identifiers, verified contact details, sign-in and security records, and session information needed to operate and protect the account.
  • Rewards. We keep a membership identifier, QR identifier, stamp balance, qualifying visit dates, reward redemptions, and a record of staff actions and corrections. A booking request by itself does not establish a completed tattoo visit.
  • Preferences and notifications. We keep your email-marketing choices and, if you enable app product notifications, your push-delivery token and notification preferences. Delivery services also provide delivery or failure information.
  • Website and technical information. Our hosting, security, analytics, and advertising services may receive IP addresses, device and browser details, page visits, referral information, online identifiers, interaction events, and error or security logs. Email-delivery logs may retain message contents and delivery information.

2. How we use information

We use information to respond to you; discuss and process booking requests; provide services; process orders, deposits, tips, gift cards, and returns; maintain accounts and rewards; deliver requested communications; prevent misuse and fraud; understand and improve our services; and meet recordkeeping or other legal obligations. Booking requests are reviewed by the studio. Submitting a form or seeing it in your account does not confirm an appointment.

After you verify your email in the app, we use that address to match booking requests that we still hold, including requests submitted before you created the account. We do not restore records that have already been deleted. Protect access to your email because it is used to verify your account. Contact us if a request appears to be linked incorrectly.

3. Who receives information

Authorized studio staff and the relevant artist use the information needed to handle your request, service, order, or rewards. We also use providers that support our operations, including:

  • WP Engine and WordPress/WooCommerce-related services for hosting, site operation, accounts, and commerce; Gravity Forms for forms; and security, spam-prevention, backup, and email-delivery services.
  • Square for payment processing, Printful and delivery providers for applicable merchandise orders, and Mailchimp for opted-in email marketing.
  • Google services, Jetpack/Automattic, and Microsoft Clarity for website measurement, usage analysis, and, where enabled, advertising measurement.
  • Expo, Apple, and Google for app push delivery when you enable those notifications.

Providers receive information relevant to the services they supply. Some, including payment, advertising, and platform providers, also process information under their own privacy policies. We may disclose information when legally required, to respond to lawful requests, or to protect people, accounts, and our legal rights.

4. Cookies, analytics, and advertising

The website uses cookies and similar technologies for functions such as sign-in, shopping carts, security, preferences, analytics, and advertising measurement. Google tags and Jetpack services help measure visits and shopping activity. Microsoft Clarity helps us understand website use through interaction information, heatmaps, and session replay, including clicks, scrolling, page layout, and technical events. These services may use online identifiers and information about your browser or device.

Review Google’s Privacy Policy, Automattic’s Privacy Policy, and Microsoft’s Privacy Statement for their practices and available controls. Certain disclosures to advertising providers may be treated as sharing for targeted advertising under applicable privacy laws.

You can manage cookies through your browser and use any privacy controls offered on the website or by these providers. Blocking essential cookies can affect sign-in and checkout. You may also contact us about applicable privacy or advertising opt-out rights. Opening the website checkout from the app is subject to the website’s cookie and tracking practices.

5. App permissions, directions, and marketing choices

You choose which reference photos to share using your device’s picker. Camera access is requested when a camera feature is used, such as an authorized staff member scanning a rewards QR code. The app does not need continuous or background location access to provide directions: it opens the shop address in a mapping service, which controls its own location permissions and privacy practices.

Product and new button-design push alerts are optional. You can turn them off in the app’s preferences or your device settings. Unsubscribe from marketing emails using the link in the email or by contacting us. Declining marketing does not prevent necessary communications about an account, verification code, booking request, or purchase.

6. Retention and security

We retain information for the purposes described here for as long as reasonably needed, taking account of the type of record, an ongoing request or relationship, accounting and legal requirements, disputes, and security needs. Different records have different retention needs. Copies may remain in backups until those backups are replaced under the applicable backup cycle. We do not promise a single deletion period for every record.

We use safeguards intended to protect information and limit access. No system can guarantee complete security. Do not send payment-card details, passwords, or unnecessary sensitive information through a tattoo request or ordinary email.

7. Access, correction, and account deletion

To request deletion of your app account, visit Delete your Pins & Roses account.

You can ask to access, correct, or delete information, or ask about other privacy rights that apply to you. Email nicki@pinsandroses.com. For an account-deletion request, include the email used for your account and the subject “Account deletion.” Please do not email identity documents unless we specifically arrange a secure verification method. We may need to verify that a request comes from the account holder.

Where an app account is available, you can also initiate deletion through its account controls. We may email a confirmation link before processing the request. Deletion covers the account and associated information unless retention is necessary and permitted by applicable law. Some transaction, legally required studio, dispute, or security records may need to be retained separately with restricted use. We will explain any applicable exception when handling your request. Uninstalling the app does not itself delete your account. Deleting an account does not by itself cancel an appointment or refund a purchase.

Depending on the law that applies, you may have additional rights, including a copy of your information, an opt-out of certain processing, or an appeal of our response. Contact the address above to make a request or appeal. We will handle requests as required by applicable law.

8. Children and younger guests

Our online services are not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child under 13 has provided information, please contact us. Tattoo eligibility and parental-consent requirements are separate from website use; see our FAQ and contact the studio before requesting services for a minor.

9. Other services and policy updates

Artist Instagram pages, mapping apps, payment providers, and other linked services have their own privacy practices. This policy does not control those services. Providers may process information in the United States or other countries where they operate. We update this policy when our practices change and show the revision date above. Where required, we will provide additional notice or request consent before a material change applies.
